Assistant Facility Manager Job Description
• Control external Annual Maintenance Contacts as needed.
• Supervise/control/manage and train facility employees work direction, support systems.
• Assist facilities staff in locating parts, supplies, and materials.
• Prepare and maintain RFP’s, bid information, and other contract documents, quotes/tender, review, recommend/reject.
• Check, verify the maintenance works/PPM/ any other related to FM before proceeding the payment.
• Check market price for quotation value, materials.
• Recommend to the Asset Manager improvements that could be made to the cleaning, engineering, technical and security services.
• Review and make recommendations to maintain building integrity, maintaining accurate records as required.
• Liaise with building contractors to follow through on approved work.
• Preparation of technical report, monthly reports, document controlling, property inspections, maintenance audit. Recommends maintenance, mechanical, electrical, and facility design modifications. Communicates workplace safety precautions to employees.
• Manage contractor and vendor relationships, Planning for the future by forecasting the facility’s upcoming needs and requirements, Overseeing any renovations, refurbishments and building projects
• Obtain monthly reports from various suppliers/service providers outlining the service used or provided.
• Coordinate with different departments in Group as needed. Liaise with FM team in terms of related daily operations and activities in order to ensure appropriate communication between the team and to avoid conflicts.
• Evaluate existing systems -by checking reports and performance of equipment’s.
• Check/ review / recommend/ reject for No Objection Certificates based on technical drawings.
• On call – 24 hours, Mobile phone ‘ON’ at all times to respond to any emergency breakdown
• Monitor Planned Preventive Maintenance (PPM), by reviewing reports, schedules, spare parts required to avoid major breakdown in equipments, buildings and to provide efficient services.
• Handover / Snags – Follow up with the respective development team for proper completion of assigned jobs.
• Provide overall management of the building to ensure all programs and events are running smoothly and that guests are served beyond their expectations at the direction of the Asset Manager.
• Control overall security of facility at all times, Handle all emergency situations while completing all required paperwork. Act as safety lead during any emergency situation including activating the emergency paging system.
• Control daily needs, problems and client feedback of Facility Management, Assist Customer Care Representative with customer inquiries regarding facility, programs, etc.
• Be able to answer questions and provide direction for tenants/Landlords and program instructors.
• Assist the Facility/Asset Manager in all aspects of project implementation as needed.
